The Opportunity

indieDwell is expanding its national footprint to bring inspired homes to individuals and families across the country. Our busy, customer -focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with an emphasis on efficiency and time management. The Office Manager will be responsible for developing intra-office communication protocols, streamlining administrative procedures, and task delegation. We’re looking for an energetic professional who doesn’t mind wearing multiple hats. The Office Manager will report to the Controller. The Office Manager will oversee the general administrative function and activities of the office, reception, training rooms, and conference rooms.

General Responsibilities

The Office Manager will:

  • Promote and engage an environment that represents our core values, purpose, mission, vision and culture

  • Maintain office services by organizing office operations and procedures, control correspondence, design filing systems, and perform clerical functions

  • Provide historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records

  • Maintain office efficiency by planning and implementing office systems

  • Implement office policies by establishing standards and procedures, measure results against standards, and make necessary adjustments

  • Complete operational requirements and follow up with management on work results

  • Keep management informed by reviewing and analyzing special reports; summarizing information and identifying trends

  • Provide clerical support to upper management with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents

  • Maintain office files, inventory of office, cafeteria and kitchen supplies; order new supplies as needed

  • Perform or facilitate maintenance of office equipment including procurement, cleaning maintenance and repairs

  • Assist HR Director with employee file maintenance , policy and procedures manual and keeping it up to date with corporate and local policies

  • Help with the coordination of all company Town Hall meetings, internal trainings, team events, and Lunch and Learns, including sending employee notifications, scheduling, meeting set up, coordination of lunch, etc.

  • Attend meetings and trainings as requested

  • Perform other duties as assigned

  • Contribute to team effort by accomplishing related results as needed

  • Perform other related duties as assigned

Qualifications

  • Associate degree required (B.A. or B.S. preferred)

  • Proficiency in Google Suite, Quickbooks or other office-related software

  • Experience with scheduling and budgeting; experience tracking budget expenses

  • Supply-management and office inventory control experience

  • Commitment to delivering excellent customer service

  • Comfort with fast-paced, changing environment

  • Strong interpersonal skills to build and maintain a positive, productive, and problem-solving environment

  • Extensive knowledge of office-management procedures

  • Excellent time management, with a proven ability to meet deadlines, and attention to detail

  • Ability to managing and developing processes and office standards

  • Will promote process improvement

  • Must be able to lift up to 15 pounds at times
